Searching For Meetings And Documents

What Search Covers

Search looks through everything your organization has published: meeting titles, agenda items, approved minutes, policies, and the readable text inside posted PDFs and text files.

Search only ever returns published material. Even when you are signed in, private meetings, board-only items, internal notes, and non-public files never appear in results.

Where To Search

• Public visitors use the Search tab on your organization's public site.
• Signed-in members use Search Records on the organization page in the Board Workspace.

Both use the same index and return the same published results.

Narrowing And Reviewing Results

1. Type one or more keywords and press Search.
2. Use the Meetings, Agenda Items, Minutes, Documents, and Policies buttons to narrow the list.
3. Filter further by year or by board when those options appear.
4. Use Previous and Next to step through matches; the one you are on is highlighted.
5. Files open in a new tab so your result list stays exactly where it was. Results you have already opened are marked Viewed.

Your search words and filters stay in the page address, so you can bookmark a search or use your browser's back button to return to the same results.

Making Older PDFs Searchable

When you upload a public file or import past meetings, Agenda Beacon reads the text out of it automatically so it becomes searchable.

Administrators can check progress under Organization Settings, Public Site, in the Search Index panel: it shows how many files are searchable, waiting, or could not be read. Use Index Documents to run it again.

Scanned documents that are pictures of pages contain no readable text. They are listed as No Readable Text and can still be found by their title.

Turning Search Off

If your organization is private, or you simply do not want a search box on your public site, turn off the Search toggle under Organization Settings, Public Site. Search then returns nothing for that organization.
